Submit the missing documents on time.

When do you have to complete your file?

  • You have the nationality of an EU country, Iceland, Liechtenstein, Norway or Switzerland, and have registered for a long-term stay.
    You provide the documents within the time limit communicated to you.
  • You have the nationality of another country, and:
    • You have registered to join a family member who has the nationality of an EU country, Iceland, Liechtenstein, Norway or Switzerland (family reunification)
      From the date of registration, you will have three months’ time to complete your file.
    • You have been requested to submit additional documents
      You provide them within the time limit communicated to you.

How to submit?

1. Gather the documents

You attach these documents to your application:

  • National ID card (front and back) or passport (biodata page)
  • Residence card, annex 19, annex 19ter, annex 15 or annex 49 (front and back)
  • The documents which are missing in your file

What you need to know before you start

  • Attach the documents in pdf format and in colour.
  • Upload the documents consisting of several pages or belonging together as 1 file
    E.g.:
    • Several pay slips (add as 1 proof of financial means)
    • Original marriage certificate with translation and legalisation (add as 1 proof of the relationship)
  • If several documents are missing, add them as separate files.
    E.g.: If 2 documents are missing:
    • Proof of financial means (1 document)
    • Proof of health insurance (1 document)
  • Has one of your documents been signed digitally?
    • E.g. a marriage certificate with translation or legalisation, or a work contract.
    • Add the original document itself, not a photo. We must be able to verify the digital signature.
    • The documents you had legalised by theBelgian embassy can be found at LegalWeb.

Foreign documents: translation and legalisation
We only accept documents drawn up in or translated into Dutch, French, German or English. Some official documents which have been drawn up abroad furthermore require legalisation. Read the rules on translation and legalisation of documents. This prevents us from having to reject your documents, thereby delaying your application.

Are your completing a file for more than one person? Then you complete the form for each person separately.

  1. We process your submission
  2. No later than 2 weeks after your submission you will receive a confirmation by email that we have processed your documents.
